through this website and through the enquiries you send us, how we use it, who we share
it with, and the choices available to you.
1.Who this policy covers
This policy applies to www.thecoolairtech.com
and to the enquiries, quotation requests and project correspondence we handle by email,
telephone and WhatsApp. It applies to visitors to our website, prospective clients,
clients, suppliers and site contacts.
Our business currently operates within Pakistan, and we serve clients located in
Pakistan. Our offices are in Karachi and Islamabad, and our National Tax Number (NTN)
is G609620-5.
2.Information we collect
Information you provide to us
This website does not have an enquiry form and does not ask you to create an account.
Information reaches us only when you choose to contact us — by clicking one of the
email or WhatsApp buttons on this site, by telephoning us, or by writing to us directly.
Depending on what you send, this may include:
Contact details — your name, job title, organisation, email address, telephone or WhatsApp number, and postal or site address.
Enquiry and project details — the requirements, drawings, specifications, room layouts, process descriptions, classifications and timelines you share so that we can prepare a proposal.
Commercial records — purchase orders, quotations, invoices, tax registration details and payment records where you become a client.
Service and validation records — site survey notes, installation records, test and validation results, maintenance visit reports and the names of your site contacts, generated in the course of delivering a project or an annual maintenance contract.

WhatsApp — where you contact us using the WhatsApp buttons on this site, your message and number are handled by WhatsApp under its own privacy policy. We receive the message in our business account.
Our email provider — delivers and stores the correspondence you send to our published address.
Some of these providers operate servers outside Pakistan, which means information sent
through them may be stored or processed abroad. We choose established providers and rely
on the protections set out in their own terms.
8.How long we keep information
We keep information only as long as we have a reason to, then delete it or archive it
securely. In practice:
Enquiries that do not proceed — kept for a limited period in case you come back to us, then deleted.
Project, validation and test records — kept for the working life of the installation and for as long as you may need them for qualification, requalification or audit purposes.
Contracts, invoices and tax records — kept for the period required by Pakistani tax and company law.
Maintenance and service history — kept for the duration of the contract and a reasonable period afterwards.
9.How we protect information
We take reasonable steps to protect the information in our care, including restricting
access to staff who need it, using access-controlled business email and devices, and
keeping project documentation in controlled storage. Our website is served over an
encrypted HTTPS connection.
No method of transmission or storage is completely secure, and we cannot guarantee
absolute security. In particular, ordinary email and messaging are not fully secure
channels — please tell us first if you need to send something especially sensitive so
we can agree a safer method.
